Reports To: Procurement/Operations Manager
Key Responsibilities:
1. General Administrative Support
- Manage day-to-day administrative tasks, including document control, record keeping, and correspondence.
- Schedule and coordinate meetings, appointments, and events.
- Maintain an organized filing system for all project and operational documentation.
2. ARIBA Platform Management ( a must )
- Navigate and utilize the ARIBA platform for sourcing, procurement, and contract management.
- Assist in supplier onboarding and maintain supplier profiles on the ARIBA network.
- Monitor and track purchase orders, invoices, and payments using ARIBA.
- Resolve issues related to ARIBA workflows, approvals, and system functionalities.
3. Procurement and Supply Chain Support
- Support procurement processes by preparing and managing RFQs, RFIs, and RFPs via ARIBA.
- Collaborate with vendors and suppliers to ensure timely delivery and quality of goods/services.
- Track and report procurement activities and key performance indicators.
4. Communication and Coordination
- Serve as the point of contact for internal departments and external vendors regarding procurement processes.
- Ensure clear and effective communication between stakeholders to meet project timelines.
- Coordinate with IT and other departments to resolve any technical issues with ARIBA.
5. Compliance and Reporting
- Ensure all procurement and administrative processes comply with company policies and procedures.
- Prepare reports on procurement activities, including cost analysis, supplier performance, and ARIBA utilization.
