Admin assistant

Job Responsibilities:

  • Assist the Admin department with the work overflow and/or absence.
  • Manage reception alongside the receptionist on a daily basis.
  • Support staff in assigned project-based work.
  • Prepare and maintain purchase orders, liaising with suppliers.
  • Support the Admin Manager with all Dubai and JAFZA office admin matters.
  • Assist senior management with tasks such as arranging meetings, travel, transport, accommodation, and restaurant reservations.
  • Organize internal and external meetings, events, and conferences.
  • Maintain a well-organized filing and archiving system for all office records and documents.
  • Order and maintain office supplies, business cards, and coordinate with the facility management company for maintenance issues.
  • Contribute to team efforts by accomplishing related results as needed.
  • Support all tasks related to the efficient and smooth running of the front desk/office.
  • Streamline daily admin processes and procedures.
  • Maintain databases and track important deadlines.
  • Manage couriers, telephones, expense declarations, and driver books, mainly related to reception.

Requirements:

  • Minimum 3 years of experience as an Admin Assistant or Receptionist.
  • Excellent communication skills in English, both verbal and written.
  • A clean UAE driver’s license is preferable.
  • Strong problem-solving and judgment skills, with the ability to observe, think critically, and solve problems using data, analysis, interpretation, and reasoning.
  • Ability and willingness to learn from experience, adapt, and embrace new situations.
  • Openness to new experiences, people, and information.
  • Strong organizational skills.
  • Ability to multitask and excellent time management skills.
