Administrative Coordinator

We are looking for a proactive and tech-savvy Administrative Coordinator to join our veterinary clinic. This role is dynamic and requires strong organizational skills, procurement expertise, and the ability to modernize workflows with a paperless approach. The ideal candidate will be comfortable taking on diverse responsibilities, solving problems independently, and working in an animal-friendly environment.

A background in healthcare or similarly demanding industries is highly valued, as it demonstrates adaptability to fast-paced and detail-oriented work.

Key Responsibilities:

  • Procurement and Vendor Management:
  • Handle supply orders for clinic operations, retail, and grooming.
  • Negotiate with vendors to secure cost-effective deals and timely deliveries.
  • Maintain accurate records of purchases and inventory.
  • Organizational and Administrative Tasks:
  • Streamline office workflows, implement paperless systems, and organize documentation.
  • Coordinate with teams to track tasks, deadlines, and progress.
  • Prepare reports and summaries to support management decisions.
  • General Support:
  • Assist with light bookkeeping, including managing invoices and receipts.
  • Support marketing efforts by coordinating with agencies and tracking campaigns.
  • Address day-to-day operational challenges with a proactive mindset.

Requirements:

  • Strong organizational and multitasking skills.
  • Proficiency in Microsoft 365 (Excel, Teams, SharePoint) and paperless tools (e.g., Adobe Sign).
  • Background in healthcare, veterinary, or other demanding environments is highly preferred.
  • Excellent communication, negotiation, and problem-solving abilities.
  • A proactive attitude and willingness to take initiative in a dynamic role.
  • Must be comfortable working around animals (cats, dogs, etc.).

Preferred Skills (but not mandatory):

  • Experience in procurement, marketing coordination, or office management.
  • Familiarity with bookkeeping and financial documentation.
  • Previous experience implementing digital solutions or paperless systems.
