Full job description

Reports To: Procurement/Operations Manager

Key Responsibilities:

1. General Administrative Support

  • Manage day-to-day administrative tasks, including document control, record keeping, and correspondence.
  • Schedule and coordinate meetings, appointments, and events.
  • Maintain an organized filing system for all project and operational documentation.

2. ARIBA Platform Management ( a must )

  • Navigate and utilize the ARIBA platform for sourcing, procurement, and contract management.
  • Assist in supplier onboarding and maintain supplier profiles on the ARIBA network.
  • Monitor and track purchase orders, invoices, and payments using ARIBA.
  • Resolve issues related to ARIBA workflows, approvals, and system functionalities.

3. Procurement and Supply Chain Support

  • Support procurement processes by preparing and managing RFQs, RFIs, and RFPs via ARIBA.
  • Collaborate with vendors and suppliers to ensure timely delivery and quality of goods/services.
  • Track and report procurement activities and key performance indicators.

4. Communication and Coordination

  • Serve as the point of contact for internal departments and external vendors regarding procurement processes.
  • Ensure clear and effective communication between stakeholders to meet project timelines.
  • Coordinate with IT and other departments to resolve any technical issues with ARIBA.

5. Compliance and Reporting

  • Ensure all procurement and administrative processes comply with company policies and procedures.
  • Prepare reports on procurement activities, including cost analysis, supplier performance, and ARIBA utilization.
