Essential Functions & Objectives
The Events Admin focuses on supporting the Events and Brand Activation team on addressing commercial space rental inquiries, developing commercial proposals, business development, supporting to deliver partner and Alserkal branded events and sponsorship. The role is responsible for ensuring that all inquiries and administrative requirements related to events and sponsorship are addressed at the highest quality.
This full-time position reports directly to the Events Manager
Key Responsibilities:
Events Commercial Clients, Partnerships & Events.
The Events Admin assists in the delivery of a strong schedule of year-round commercial activations with special partners, geared towards increasing Alserkal’s profitability.
- Event Commercial Clients sheet with all details on every event which is shared with the wider team
- Event sheet Caretakers Rota to be shared with HR weekly.
- Alserkal Avenue Events sheet – DTCM to send to Caroline weekly.
- DTCM permit application.
- NOC for Alcohol Permit and documents preparation
- Salesforce log-in leads and updates regularly
- Updating Monday.com for legal contracts
- Events inquiry sheet – front desk inquiries and calls
- Events x Marketing Clash Calendar – updated regularly.
- Log numbers agreement number.
- Sage – PRs and LPOs and GSRs
- Create wetransfer links for venues.
- Phone calls
- Support on events email during peak time
- Managing cash requests
- Booking, labourers, cleaners, security, valet, etc..
- Server document control and upkeep
- Archive and organize all contracts, invoices and client information accordingly.
- Manage and take ownership of gifting ideas, acquirement and budgeting for Special Projects’ team clients/partners.
- Server document control
- Obtaining all necessary permits and applications for Avenue Events
Required skills + experience
- 2 years’ experience in a fast-paced, high-volume environment in a related field
- Educated to a Bachelor’s degree level or equivalent and holding relevant professional qualifications.
- Excellent organizational and administrative skills
- Excellent budget-keeping and reporting skills
- Excellent writing and communication skills
- Excellent interpersonal skills and ability to work effectively as part of a team
- Self-motivated, with the ability to work within an ambiguous constantly changing environment
Position type and expected hours of work
This is a full-time position. Days and hours of work are Monday through Friday, from 10am to 6pm. Saturdays, Sundays and overtime might be required during intense periods and/or during special projects and events.
