Groups Manager

Job summary

Manage the relationship, saturation, and penetration of a portfolio of accounts based on the allocated geographical market/segment. Practice total account management maintaining and growing the group base by analyzing, negotiating, and converting demand, while acting as a brand ambassador to secure reputable and lucrative business for the hotel.

As Group Sales Manager, you will manage group enquiries, those requesting either rooms only or Rooms/F&B combined.

Essential Duties and Responsibilities

  • Pro-actively hunt for new business from within the allocated geographical market as well developing and managing relationships with the existing account base.
  • Reach and exceed room night and revenue targets.
  • Think creatively to develop and design new ideas, applications, relationships etc., in order to continue driving business.
  • Promptly and professionally respond to group enquiries (all leads with minimum 10 peak room nights) via phone, email and walk-ins to the hotel, before the end of the business day and no more than 24 hours later.
  • Accurately identify and define the program, flow, budget, client expectations and level of influence and decision-making power of contacts in the customer organisation and use these to secure business.
  • Analyse, negotiate and prepare proposals, contracts and addendums according to hotel availability and demand while maintaining price integrity.
  • Schedule and manage follow up to proposals and contracts based on client timeline and decision due date.
  • Secure contracts and first deposits for group, following on with complete and accurate handover to the Group Services team.
  • Sell and maximise revenue opportunities in all areas of the hotel (e.g. Spa, Concierge/transportation, F&B outlets).
  • Reach and exceed food & beverage, room night and overall revenue targets.
  • Work closely with the Sales, Event Sales and Revenue teams, focusing on lead conversion and key opportunities, in effort to maximise hotel revenue.
  • Maintain constant accurate records in Salesforce/Dephi, including booking activities, contacts and revenue.
  • Supporting the Head of Group & Corporate Sales with the management of the group’s inbox and allocation of the workload received in the Groups Inbox.
  • Contribute to the strategy and planning activities of the sales function.
  • Greet contacts during actualisation of group as appropriate with intention of maintaining relationship to actively prospect and rebook future and repeat group.
  • Attend GRC, pre con and other meetings as necessary regarding groups booked.
  • Develop and manage appropriate client relationships through entertainment, email and phone correspondence, site inspections.
  • Constantly offer professional, sincere, friendly, and engaging service
  • Follow all departmental set standards.
  • Maintain high standards of personal appearance and grooming, which includes adhering to Rosewood Hotels and Resorts grooming policy.
  • Understand and be knowledgeable of relevant policies (e.g. room rates, competitive set advantages and weaknesses, menu and pricing, cancellation, service charge, payment)
  • Other duties as assigned.
  • Support the Head of Group & Corporate Sales with training of new starters and ongoing training with the team to ensure departmental standards are adhered to 100% of the time.

  • Be a “brand ambassador” at all times and ensure brand integrity and clarity are always maintained.
  • Models the company’s culture, vision, mission and core values at all times.
  • Takes a proactive approach to management of the department, anticipating potential opportunities.
  • To assist in the formation of the annual department budget, and to monitor it throughout the year, reporting reasons for all variances of actual versus budget and recommending and implementing appropriate actions.
  • Maintain effective communication within the department and ensure that the department manager is kept well informed of any problems/queries that have arisen.
  • Contribute and actively take part in associate social activities.
  • Supports the hotel operation in times of demand.
