- Liaise with Captains regarding pre-departure and post-arrival checklists.
- Check and upload GPS tracker data for previous day’s trips; verify that fuel receipts match those uploaded by captains.
- Monitor GPS tracker to track the locations of departed boats.
- Monitor departure and arrival times.
- Check and update boat files for boats in the Operations Audit.
- Provide weekly updates on engine running hours for all boats.
- Change booking status at 17:00h the day before a trip.
- Create captains’ schedules the day before trips.
- Review weather forecasts a day in advance and update members as needed.
- Coordinate with Captains regarding fuel cards for the boats.
- Liaise with Captains for boat viewings.
- Send monthly fuel reports and weekly credit card (CC) reports to Accounts.
- Spend time on the jetty twice a week with Captains for feedback and concerns.
- Meet and greet members during busy days (especially weekends) prior to departure and upon arrival.
- Arrange orientations for new members.
- Check availability in the system.
- Send email invites to General Manager and Operations.
- Remind members a day before their orientation date.
- Check members’ ABPM in the system.
- Assist with viewings if the Manager is unavailable.
- Liaise with the Maintenance and Operations teams regarding boat breakdowns.
- Work with the Maintenance team on boat lifting, engine/generator services, and other routine maintenance tasks.
- Update members on breakdowns and provide solutions.
- Report directly to the General Manager.
- Manage the ground team of Captains and valets in all marina locations.
- Follow up on pending maintenance tasks.
- Purchase items required for the boat and ensure stock is maintained.
- Oversee tasks assigned to the Admin Assistant.
- Ensure all documents are up to date.
- Assist in operations as and when required.
